Frequently asked questions
Why do I need decimal hours?
Payroll systems multiply rate by decimal hours, and the conversion trips people constantly: 7 hours 45 minutes is 7.75 hours, not 7.45. Reading '7:45' and typing '7.45' into a pay calculation shorts the worker 18 minutes. This tool shows both formats so the right one gets copied.
How is overtime calculated?
US federal law (FLSA) requires time-and-a-half for hours past 40 in a workweek, which is the default here — and the threshold is editable for other rules. What a weekly calculator can't model: California-style daily overtime (past 8 hours in a day) and double-time; check your state if that applies.
Do unpaid breaks come out of my hours?
Enter the break in minutes and it's subtracted from that day's total. US norms: short breaks (5–20 minutes) are typically paid working time, while bona fide meal periods of 30+ minutes where you're fully relieved of duty are typically unpaid — that unpaid lunch is what belongs in the break column.
Can it handle overnight shifts?
Yes. If clock-out is earlier than clock-in — 10:00 PM to 6:30 AM — the tool assumes the shift crossed midnight and counts it correctly (8.5 hours before breaks). The hours land on the day the shift started, which is the most common payroll convention.
About this tool
The time card calculator adds up a week of shifts the way payroll does: enter clock-in and clock-out times for each day (12-hour or 24-hour format), subtract unpaid breaks in minutes, and get daily totals plus the weekly sum in both clock format (38:45) and decimal hours (38.75) — the decimal being what payroll systems use and what hand-tallied timesheets most often get wrong. Add an hourly rate and it computes gross pay with time-and-a-half overtime past a configurable weekly threshold. Overnight shifts that cross midnight are handled automatically, and pay details stay on the page.
Like most tools on UtilityBase, the time card calculator runs entirely in your browser — nothing you enter is uploaded or stored on a server. It's free to use with no account required. Browse more calculators here.
